This policy explains how personal data is handled in the A.R.T. Racing Timing live timing system: the booking pages, the drop-in check-in, the public result pages and the staff console. The karting track you booked with or drove at is the data controller. A.R.T. Racing Timing supplies and operates the software as a data processor on the track's behalf.
1. What we collect
Bookings: your name, e-mail address, phone number (if given), any message you write, the package you booked, the time slot and whether the booking is paid.
Drivers: the driver names entered when booking, when pre-registering for a Grand Prix or endurance event, or when checking in for drop-in. Driver names are also stored on heat entries and on individual lap records.
Timing data: lap times, lap counts, kart numbers and transponder identifiers. Transponders belong to karts, not people.
Staff accounts: e-mail address, role and facility membership. Certain change logs (driver renames, kart service notes) record the e-mail address of the staff member who made the change.
Technical data: the language you choose and, if you sign in, a login session stored in your browser.
2. Why we use it, and the legal basis
To take and confirm your booking, send booking confirmations and live timing links, and manage the drop-in queue and payment status — necessary to perform the agreement with you.
To run heats and events, produce results, records and statistics, and to show live timing on screens at the track and on public result pages — the track's legitimate interest in operating the activity and presenting results.
To keep change logs of driver renames and kart service — legitimate interest in traceability and avoiding incorrect results.
We do not use your data for advertising, profiling or automated decision-making.
3. What is published publicly
Driver names, kart numbers, lap times and positions are shown on pages that anyone with the link can open without signing in: the live timing page, the TV board, the track records page and the QR result page for a finished heat.
Contact details — e-mail address, phone number and booking messages — are never published. They are only visible to the track's staff in the console.
If you would prefer not to have your full name on the public pages, use a nickname or first name only when the names are entered, or ask the staff to change it.
4. How long we keep it
Contact details in bookings (name, e-mail, phone, message) are kept for up to 12 months after the visit and are then removed or anonymised.
Lap times, records and heat results are kept for as long as the track uses the system, so that records and statistics remain intact. When a person is erased, the times remain but the name is replaced with a generic label.
Staff accounts are kept for as long as the person works at the track.
5. Who can see the data
Staff at the karting track where you booked or drove. Each track only sees its own data — facilities are separated from each other.
A.R.T. Racing Timing as the software supplier, for operation, support and security.
Sub-processors used to host the service and send e-mail on the track's behalf. No data is sold or shared for marketing.
6. Your rights
You may request a copy of the data held about you, ask for it to be corrected, ask for it to be erased, or object to how it is used. The staff can look you up by name, e-mail address, phone number or booking reference, export what is stored and erase or anonymise it.
Contact the karting track first, since the track is the controller. If you cannot reach them, or your question concerns the software itself, you can also write to support@racingtiming.app.
You also have the right to lodge a complaint with your national data protection authority (in Sweden, Integritetsskyddsmyndigheten).
7. Cookies and tracking
The system uses no advertising or tracking cookies. It stores only what is needed to work: your language choice and, for staff, a login session in the browser.
8. Security
Access to the staff console requires an account. Data is separated per facility at the database level, contact details are only reachable by that facility's staff, and connections are encrypted in transit.
9. Changes and contact
This policy may be updated. The date above shows the latest version.
